1. Choose the region first, then the venue
First, decide on the region that makes you dream: the light of Provence, the elegance of Paris, the chateaux of the Loire Valley or the vineyards of Bordeaux. The venue shapes almost everything else: capacity, style, season and much of the budget.
2. The local wedding planner: your best ally
From a distance, a planner on the ground makes all the difference. They know the venues, negotiate with vendors, handle logistics and represent you at the meetings you cannot attend. A bilingual planner also smooths communication with the families and the French vendors.
3. Virtual tours and video meetings
Most venues and vendors now offer video tours, detailed quotes and video-call meetings. Ask for recent photos and videos, a floor plan of the venue, and if possible a live video call from the spaces you are considering.
4. Plan a scouting trip
If your budget allows, a scouting trip 6 to 12 months before the wedding lets you visit your shortlisted venues, meet your planner and key vendors, and taste the caterer. Many couples finalize the big decisions in just a few days on site.
5. Guest logistics
- Give notice early: send a save-the-date 9 to 12 months ahead so loved ones can book flights and time off.
- Make accommodation easy: negotiate a group rate at a nearby hotel, or choose a venue with on-site lodging.
- Think about transport: shuttles between the accommodation and the venue, especially in rural areas.
- A wedding website: gather the practical information (address, hotels, schedule) for guests coming from several countries.
6. Manage the distance and time zones
Set a rhythm of regular check-ins with your planner and account for the time difference when scheduling video calls. Keep every document (quotes, contracts, schedules) in one shared space so nothing gets lost between two time zones.
7. Do not forget the legal side
