The reception venue is the first major decision of your planning: it sets the date, determines the number of guests, sets the tone of the atmosphere and represents, together with the caterer, more than half of your budget. Choosing it early and well means sparing yourself painful trade-offs later. Here is the complete method for finding the venue that looks like you.

1. Define your needs before visiting anything

Before falling in love with a photo, set the framework together. Three parameters decide almost everything:

  • The number of guests: a venue that is comfortable for 80 people becomes cramped at 150. Estimate your maximum list from the start.
  • The season and the date: the nice weekends from May to September often go a year in advance. The more flexible you are on the date, the more choice you'll have.
  • The budget allocated to the venue: count on 20 to 40% of the overall budget for the rental alone, before the caterer.

Prestigious setting, large spaces, often accommodation on site for the couple and close family. It is the most sought-after option, so book very early. Check whether the venue imposes its own vendors or leaves you free to choose.

The classic reception hall

More understated and generally more affordable, the municipal or private hall offers great flexibility. The downside: everything has to be dressed, so decoration weighs more heavily on the budget and the preparation time.

Industrial loft, vineyard, renovated farm, beach, botanical garden: perfect for a wedding that reflects you. Beware of the logistics (electricity, restrooms, weather, caterer access) that these venues don't always include.

A lovely visit isn't enough: you need to ask about the practical side. Prepare this list before you go:

  • Is the venue exclusively yours that day, or are there other events?
  • What is the cutoff time for the music and the end of the evening?
  • Is the caterer imposed, or can you bring your own (and is there a corkage fee)?
  • Is there a backup solution in case of rain for the ceremony or the cocktail hour?
  • How many people can the venue seat, and how many for the dancing?
  • Are accommodation, parking and access for guests with reduced mobility provided?

4. Reading the quote without being caught out

The advertised price often hides additional fees. Always check what the rental includes (and doesn't include): furniture (tables, chairs), tableware, end cleaning, security, insurance, overtime, deposit. A "cheaper" venue that provides neither furniture nor tableware can end up costing more than a fully equipped venue.

5. The right timing

The most sought-after venues are booked 12 to 18 months in advance for a high-season wedding. Once the venue and the date are locked in, you can move on to the caterer, then the photographer and the DJ. The venue is the centerpiece that unlocks the rest of your planning.
